Which property management software should your company use? There is no single best platform: the right pick depends on your portfolio type, unit count, budget and the staff who will work in it every day. Published prices give one honest anchor — as of October 9, 2026, Buildium lists plans starting at $62 a month, Yardi Breeze from $1 per unit per month, and AppFolio, Rent Manager and Entrata quote every deal.
Software by portfolio type and size
Start from the property types in your portfolio, then from the unit count.
The pricing pages make the segmentation plain: Yardi Breeze publishes separate editions for residential, commercial, affordable-housing and association portfolios, and AppFolio puts its affordable and student housing capabilities on the middle Plus plan.
For residential portfolios, the residential editions carry the core work: leasing, payments, maintenance and owner reporting.
Yardi Breeze residential starts at $1 per unit per month with a $100 monthly minimum.
Its Breeze Premier tier is also $1 per unit per month but with a $400 monthly minimum, on annual agreements — terms apply.
Commercial operators work in a different module set.
Yardi Breeze's commercial edition, priced at $2 per unit per month with a $200 monthly minimum, is marketed for retail, office and industrial properties.
Its feature set covers common area maintenance (CAM) recovery for triple-net, gross or combination leases, custom expense pools allocated to tenants, lease-expiration tracking and retail sales tracking.
Affordable-housing portfolios add a compliance layer, and the software sits inside it.
Under HUD's Handbook 4350.3, the HUD-50059 form is generated by the owner's software, signed by the tenants and the owner, and transmitted electronically to HUD's TRACS system directly or through the contract administrator.
Yardi Breeze prices its affordable Premier edition at $3 per unit per month with a $400 monthly minimum.
Community association managers have their own economics.
Yardi lists Breeze Premier for HOA and condo associations at $1 per unit per month with a $400 monthly minimum.
Buildium, whose Academy includes courses for association managers, asks community associations to call for pricing rather than publishing rates.
Size gates matter as much as editions.
AppFolio's Core plan carries a minimum spend and a 50-unit minimum, and its Plus and Max plans carry minimum spend and unit requirements of their own, so the smallest portfolios price out at the quote stage, while Buildium asks portfolios over 5,000 units to call.
Wherever you land, run the math at your actual unit count: on a per-unit plan, the monthly minimum — not the per-unit rate — can set the floor for a small operator.
Every figure in this section comes from the vendors' published pricing pages, read on October 9, 2026.
Core features to compare
The cleanest comparison starts from your own workflow rather than a vendor's feature grid.
List the work your staff actually does — accounting and the trust ledger, leasing CRM and screening, maintenance work orders, payments, owner and board reporting, resident portals, and the integrations that connect them — then score each platform against your list.
Check what the vendor itself publishes, too.
Entrata's site names the Operations Experience Platform and products including ProspectPortal, LeadManager, ResidentPay, ResidentVerify, Leasing Center, Accounting, Budgeting, Revenue Intelligence and a set of AI tools.
AppFolio's Max plan adds a leasing CRM and a read/write API on top of Core — the API matters if you expect to connect other systems later.
Look closely at what rides in as an add-on.
Yardi Breeze markets an optional 24/7 maintenance call center fully integrated with Breeze Premier, with no price published for it, and Rent Manager lists a 24/7 maintenance and leasing call center provided by Anequim.
If after-hours coverage is part of your staffing plan, the add-on list belongs in the comparison, because the sticker plan and the real monthly cost can diverge once the add-ons you need are counted.
Revenue management deserves its own due diligence.
On November 24, 2025, the Justice Department's Antitrust Division filed a proposed settlement — a consent judgment — resolving the United States' claims against RealPage over its revenue management software for multifamily housing.
Under the proposed judgment, RealPage would have to stop its software using competitors' nonpublic, competitively sensitive data to set rents at runtime.
It would also have to limit model training to nonpublic data aged at least 12 months, not model geographic effects narrower than the state level, and remove or redesign features that limited price decreases or aligned pricing among users.
Those are the proposed terms as DOJ described them — not a court finding — so check the case's current status on justice.gov before you weigh any revenue-management tool, RealPage's or anyone else's.
On comparisons generally: our research found no vendor-neutral market-share data for property management software, and vendor "leading" claims are marketing, so score the products against your own checklist rather than anyone's ranking.
Pricing models
Three pricing models cover the published pages as of October 9, 2026, and they behave very differently at different portfolio sizes.
| Platform | Published price (as of Oct 9, 2026) | Model |
|---|---|---|
| Buildium Essential / Growth / Premium | "Starting at" $62 / $192 / $400 per month | Tiered flat monthly plans |
| Yardi Breeze (residential) | $1 per unit per month, $100 monthly minimum | Per unit + monthly minimum, annual agreement |
| Yardi Breeze Premier (residential) | $1 per unit per month, $400 monthly minimum (terms apply) | Per unit + monthly minimum, annual agreement |
| Yardi Breeze Premier (associations) | $1 per unit per month, $400 monthly minimum | Per unit + monthly minimum, annual agreement |
| Yardi Breeze (commercial) | $2 per unit per month, $200 monthly minimum | Per unit + monthly minimum, annual agreement |
| Yardi Breeze affordable Premier | $3 per unit per month, $400 monthly minimum | Per unit + monthly minimum, annual agreement |
| AppFolio Core / Plus / Max | Quote only; minimum spend and unit requirements apply on all three plans — Core states a 50-unit minimum | Quote-based |
| Rent Manager Basic / Plus / Premium | Quote only | Quote-based |
| Entrata | No published pricing — the site offers a demo booking | Quote-based |
Per-unit pricing with monthly minimums is Yardi Breeze's model, and its pricing page states there are no onboarding, training or support fees on top.
Buildium publishes tiered flat plans and requires every new Growth or Premium customer to use its customized onboarding service.
Its add-on fees ride on top of the plan: tenant screening at $17 per screening ($35 if applicant-paid, $20 enhanced on Growth and Premium), incoming EFT at $2.35 per transaction on Essential ($1.35 on Growth), and a $99 setup fee per business bank account on Essential.
AppFolio, Rent Manager and Entrata publish no prices at all.
AppFolio's Core, Plus and Max plans all read "Get a Quote," with a 50-unit minimum stated on Core and minimum spend and unit requirements applying across the plans; Rent Manager compares Basic, Plus and Premium bundles with quote buttons only; and Entrata's /pricing URL returned a 404 page when we read it, while its home page offers to book a demo.
With those vendors, the quote conversation is the pricing — ask it to itemize onboarding, training, per-transaction fees and the minimum commitment.
Whichever model you face, compare total monthly cost at your unit count rather than headline rates: per-unit rates times your doors, plus the monthly minimum, plus the add-on and transaction fees your volume implies, plus implementation.
The "terms apply" line Yardi Breeze attaches to its published Premier rate is a fair reminder that a list figure is a starting point, not a final number.
Migration and implementation
Implementation deserves as much scrutiny as the monthly rate, and the published detail is thin.
What the pricing pages do address is limited.
Buildium requires its customized onboarding service for new Growth and Premium customers and offers a free 14-day trial.
Yardi Breeze states its pricing carries no onboarding, training or support fees.
AppFolio, Rent Manager and Entrata leave implementation scope to the quote and demo process.
Before you sign anything, inventory what has to move: unit and lease records, resident ledgers and payment histories, owner and board records, open work orders, vendor records and your document archive.
Then put two questions to each vendor in writing: which of those they will import, and which your staff will re-key by hand.
Time the cutover for just after a month-end close, so you start on a reconciled ledger, and keep the old system read-only while your team shakes down the new one.
Confirm in writing who owns the data, how you can export it in full, and what happens if you leave — a contract question worth a lawyer's read before you sign, not after.
Training belongs in the implementation plan as well, and the vendors handle it very differently.
The next section covers what each one offers its customers and what that means for the people you hire.
Staff skills and hiring implications
The platform reaches all of the onsite roles.
NAA describes the average apartment community as 254 units employing at least six onsite staff — including a community manager, an assistant manager, leasing consultants and maintenance technicians.
A system like this touches all of them: leasing in the CRM, managers approving work orders and renewals, technicians closing them, and the back office in the ledger.
The vendors train their users differently, and the differences matter for staffing.
Yardi's own training registration is closed to the public — attendees must be active Yardi clients, and Yardi points non-clients to local colleges, private consultants and industry organizations instead.
Client-side, Yardi offers self-paced eLearning through Yardi Aspire On Demand, instructor-led webinars of 30 to 60 minutes, and a video library in Client Central.
RealPage runs product training through its EasyLMS learning management system, a Product Learning Portal, classroom sessions and webinars.
Entrata offers Entrata Academy in two tiers, with self-paced courses that include compliance training such as fair housing, plus free product webinars for users and custom onsite or virtual training.
Buildium Academy is Buildium's self-guided online training, with courses from basic setup to advanced workflows for rental and association managers.
MRI Software sells training through its Training Academy — individual eLearning courses and suites, a video library, and monthly remote live training.
Rent Manager adds certification to the mix: hands-on online certification exams in four areas — Core, Third-Party Management, Bookkeeping and Scripting — plus Rent Manager University and a free weekly feature webinar on Thursdays at 2:00 PM Eastern.
AppFolio's public training offering is the one we could not verify.
The company says it was founded in 2006 and has grown to nearly 2,000 team members, and our read of its site could not confirm a training or certification offering for non-customers — its /training URL returned not found.
Three practical moves follow for hiring.
Name your platform in every job posting so applicants can self-screen before they apply.
In interviews, ask candidates which systems they have used day to day for leasing, work orders, payments and reporting, and treat a vendor certificate like Rent Manager's as product knowledge — not an industry credential, and never a license.
Then budget training time for any strong hire coming from a different platform, because the vendor courses above are the bridge.
Once the software decision settles, the staffing work starts.
The hiring hub walks through which role to hire next, how many staff a property needs, pay anchors, legal screening and onboarding.
Questions to take into every software demo
- Itemized monthly cost at our unit count: platform fee, minimum, add-ons, per-transaction fees
- Implementation scope in writing: what the vendor migrates and what our staff re-key
- Training plan per role: leasing, maintenance, accounting and management
- Data ownership and a full export on exit, stated in the contract
- Which editions match our property types: residential, commercial, affordable, association
- What the annual agreement locks in, and what changes at renewal
Questions employers ask
How much does property management software cost?
It depends on the vendor's pricing model. As of October 9, 2026, Buildium lists plans starting at $62, $192 and $400 per month; Yardi Breeze starts at $1 per unit per month with a $100 monthly minimum; and AppFolio, Rent Manager and Entrata publish no prices — their plans are quote-only. Add-ons such as tenant screening and per-transaction EFT fees ride on top.
What is the best property management software for a small portfolio?
Our research found no vendor-neutral market-share data for property management software, so match the published terms to your unit count instead. AppFolio's Core plan carries a 50-unit minimum and a minimum spend, Yardi Breeze's $100 monthly minimum sets a floor, and Buildium's Essential plan starts at $62 per month. Run the total at your actual count, add-ons included.
Does property management software pricing include training and support?
Sometimes — check each vendor's pricing page. Yardi Breeze's page says there are no onboarding, training or support fees. Buildium requires new Growth and Premium customers to use its customized onboarding service. AppFolio, Rent Manager and Entrata publish no prices at all, so make training, support and implementation part of the quote you request.
What software skills should I look for when hiring property management staff?
Ask which platforms candidates have used day to day for leasing, work orders, payments and reporting. Each vendor trains inside its own ecosystem: Yardi's training registration is closed to the public and open to active clients only, while Rent Manager runs product certification exams and Buildium and Entrata run their own academies. Name your platform in the posting so applicants can self-screen.
