A property administrator is the office-side professional who keeps a property or portfolio's paperwork moving: lease and renewal files, ledgers and invoices, insurance certificates, vendor paperwork, resident correspondence and the calendars everyone onsite works from.

Titles worth searching alongside this one include property management administrator, property management assistant and property management coordinator.

This guide covers the duties, commercial versus residential settings, requirements, pay and the routes in and up.

What is a property administrator?

The administrator runs the administration of a property, a portfolio or a management office.

While managers and leasing agents are out in the buildings, the administrator keeps the files, the money records and the deadlines behind their work current.

The title exists across employer types.

IREM describes the field's basic employment split as owners who employ their managers directly and management companies hired to run property for others, and notes that the employer type changes the nature of the work.

Administrators sit on both sides of that split: onsite at a large community, or in the home office of a firm running many sites for many owners.

No federal SOC occupation is titled property administrator.

In the Bureau of Labor Statistics' direct-match title file, "Real Estate Administrative Assistant" falls under secretaries and administrative assistants (SOC 43-6014), the closest available federal job family for the title, and "Real Estate Clerk" under office clerks (SOC 43-9061).

The concierge series BLS maintains (SOC 39-6012) lists only hotel, club and conference titles, not residential front desks.

Those job families are large inside the industry.

BLS's May 2025 Occupational Employment and Wage Statistics counted 86,200 office clerks, 51,950 secretaries and administrative assistants and 25,860 receptionists and information clerks working in real estate (NAICS 531).

Set the title against the manager role and the line is clean: a property manager carries the property's operating decisions, from the budget to vendor sign-offs, while the administrator supports that work from the desk.

In a smaller office the administrator may be the whole back office, reporting to the community manager.

In a larger firm the title sits in a central office and supports a portfolio of sites.

Either way, the job starts and ends with records.

Duties

The work concentrates on records, money and coordination.

Duty areas that define the desk include:

  • Lease files: assemble move-in packets, track renewal dates, and keep signed documents and addenda current.
  • Money records: enter invoices and payments, support rent rolls and delinquency reports, and keep deposit and owner ledgers ready for the manager's review.
  • Vendors: collect certificates of insurance and W-9s, keep contracts on file, and schedule work around the maintenance team's turns.
  • Correspondence: resident and owner letters and emails, phone coverage and the front-desk greeting.
  • Systems: keep the property management platform current, from unit status to contact records.
  • Compliance files: keep application, certification and inspection paperwork organized so managers and auditors can put their hands on it.

BLS's duty list for property managers includes preparing budgets and financial reports, keeping rental records, arranging repairs and complying with anti-discrimination laws when advertising or leasing.

In an office that splits the work, the records-and-paperwork half of that list is the administrator's share.

The desk is also where the office's calendar lives: board and owner meetings, site inspections, renewal season and audit prep all get scheduled through it.

An administrator who controls the calendar controls the office's week.

Commercial vs residential property administration

The office work follows the property type.

Residential administration runs on volume: move-ins and move-outs, renewal tracking, application files and a steady stream of resident requests to log and route.

Commercial administration runs on documents: lease files and certificates of insurance, operating-expense reconciliations and coordination for the business occupants on the property.

BLS ties commercial management positions to overseeing a property's finances or contracts, and the office support follows that same finance-and-contracts character.

Two more settings are worth naming.

Community association management companies run a version of the same office — board meeting packets, assessment ledgers, vendor bids and minutes.

Affordable-housing owners add program files on top of the standard lease file; LIHTC owners, for instance, must keep, for each year of the compliance period, records including each low-income tenant's annual income certification and supporting documentation (IRS LIHTC rule, 26 CFR 1.42-5(b)(1)).

Who signs the paycheck matters as much as the property type.

IREM frames the field's employment split as owners who run their own sites and management companies that run property for others.

An administrator at an owner-operator serves one portfolio; at a third-party firm, the paperwork belongs to many owners at once.

Requirements and skills

There is no federal education profile written for the administrator title itself — the federal data carries no occupation by that name.

BLS's profile for the field's manager occupation, property, real estate and community association managers, lists a high school diploma or equivalent as the typical entry-level education, less than 5 years of related work experience and short-term on-the-job training.

For the commercial side, BLS notes that employers may prefer college graduates for management positions dealing with finances or contracts, and names business administration, accounting, finance, real estate and public administration as relevant degree fields.

Software is a skill a resume can prove quickly.

O*NET's software profile for property, real estate and community association managers lists Yardi software, Propertyware and Intuit QuickBooks, alongside Microsoft Excel, Outlook, Word and PowerPoint.

Beyond systems, the job rewards accuracy with numbers, discretion with resident and owner records, control of a busy inbox and calendar, and plain business writing.

Requirements come from each employer's posting, so read several for the titles you want and match your resume to the software and paperwork they name.

Pay

No federal SOC occupation is titled property administrator, so no federal wage series carries the title's name.

The federal data that sits closest is secretaries and administrative assistants (SOC 43-6014) — the series where the direct-match file places "Real Estate Administrative Assistant" — together with office clerks and receptionists.

Within the real estate industry specifically (NAICS 531), BLS's May 2025 survey counted 51,950 secretaries and administrative assistants at a median of $46,910 a year, 86,200 office clerks at a median of $43,970 and 25,860 receptionists and information clerks at a median of $41,410.

These occupations are the closest available stand-ins for the title, not a property administrator pay scale.

The property administrator salary page carries the national, all-industry figure for the secretaries and administrative assistants series, so it differs from the real estate figures above.

Postings vary with the market and with how much of the office the role covers, so treat the federal figures as context for negotiations rather than an offer sheet.

Why these numbers are proxies

No federal occupation is titled property administrator. The figures here come from the office occupations BLS tracks inside real estate — secretaries and administrative assistants, office clerks, receptionists. The salary page shows secretaries and administrative assistants across all industries. Read both as the closest available benchmark, not the title's own pay scale.

Career path

From an administrator seat, three directions to look at are deeper into property accounting, into an office or business manager role, or onto the management ladder as an assistant property manager.

BLS describes the field's advancement as a ladder: people may start as onsite managers, move into assistant property manager positions, or begin as assistant managers and advance to property manager, with responsibilities growing as the properties get more numerous and larger.

Experienced managers may open their own firms.

NAAEI, the National Apartment Association's education institute, makes the same point about the field: residential property management careers offer room to grow "as the industry typically promotes from within."

The manager rung carries its own federal number.

BLS put the May 2025 median wage for property, real estate and community association managers (SOC 11-9141) — one occupational series covering all of those manager titles — at $69,990 a year.

Frequently Asked Questions

Is a property administrator the same as a property manager?

No. The administrator runs the office half of the work: files, ledgers, invoices, correspondence and scheduling.

The property manager carries the property's operating decisions — the budget, vendor sign-offs, staffing and reporting to the owner.

Read the posting's duties to see how a particular employer splits the two.

What titles are similar to property administrator?

Titles worth searching alongside this one include property management administrator, property management assistant and property management coordinator.

In federal occupational data, BLS's direct-match file places "Real Estate Administrative Assistant" with secretaries and administrative assistants (SOC 43-6014), the closest available federal group for the title, and "Real Estate Clerk" with office clerks (SOC 43-9061).

Read each posting's duties rather than trusting the title.

What software should a property administrator know?

O*NET's software profile for property, real estate and community association managers lists Yardi software, Propertyware and Intuit QuickBooks, alongside Microsoft Excel, Outlook, Word and PowerPoint.

Employers run different platforms, so treat those names as examples: lead your resume with the systems you have actually used, plus your spreadsheet and ledger work.

Do you need a degree to become a property administrator?

There is no federal education profile for the title itself.

BLS lists a high school diploma or equivalent as the typical entry-level education for property, real estate and community association managers, with short-term on-the-job training, and notes that employers may prefer college graduates for commercial positions dealing with finances or contracts.
